Hackney Borough Youth (HBY) is a football club in East London. We play football matches as well as hold regular training sessions. We also attend events e.g. team building away days and host our own events such as end of season awards.

In this Privacy Notice we aim to tell you about how we collect and use personal data; we intend to comply with our obligations under applicable privacy and data protection laws.

HBY is the controller in relation to personal data that you provide to the club, including in relation to this website.

  • We collect information about you in the following ways:

    • When you, your parent or adult with parental responsibility registers you to become a player (Pre-trial).

    • When you, your parent or adult with parental responsibility gives us any additional information that we
    request once you are a HBY player.

    • When you apply for job or to become a volunteer e.g. football coach.

    • When you sign up as a subscriber for our emails e.g. fixtures, results, events etc.

    • When you complete a survey, although we try to ensure that our survey responses are anonymous.

    • Supplier relationship e.g. to take steps to onboard a supplier.

    • Sponsors – including steps taken to onboard a new sponsor.

    We require a parent or adult with parental responsibility to provide personal data including consent for processing for any child under the age of 13 years.

How we use your personal information

Where we are relying upon our legitimate interest, we have balanced our interest as a football club with the interests of our players, prospective players, ex- players, parents and adults with parental responsibilities, staff, suppliers and sponsors.


Your Rights

Our processing of personal data is limited to individuals in the UK and under UK data protection law you have the following rights.

·       Informed: You have the right for us to inform you about how we process your personal data.

·       Access: You have the right to ask HBY for a copy of the personal data about
you that we are processing.

·       Rectification: You have the right to request that we correct any incorrect
information and or update any information about you that we are processing.

·       Object: You have a right to object to us sending you any direct marketing and this right is
absolute. You also have a right to object to how we process your personal information.

·       Restriction: You have a right to request that we restrict or suppress your personal information
that we are processing.

·       Portability: You have a right to request transfer of your personal data to another controller,
although this right may not apply in most instances based on how we process personal data.

Our processing of personal data does not extend to automated decisions being made about you.

Who we share personal information with

We will only share your personal data with third parties for marketing purposes if we ask, and you give us your consent to do so.

We use external service providers to support the efficient running of our football club e.g. an IT company that provides technical support, an accountant, website developer etc. In performance of their services they may handle your personal data. We have however carried out comprehensive due diligence in who we choose to work with, furthermore our relationships are govern by appropriate contractual arrangements including use of personal data.

We do our best to keep all of our best players but, if we are approached by another football club (e.g. a premier league club) with interest in one of our players we will share your information with them once we have your consent.

We may disclose your personal data with health professionals e.g. if you sustain an injury whilst playing football and health professionals
e.g. an ambulance is called.

We will also disclose your personal data if the law requires us to do so.

Keeping your personal information secure

We ensure that your personal information is processed and stored securely using appropriate technical and organisational measures to prevent unlawful processing, accidental loss, destruction or damage.

How long we keep your personal information

We keep your personal information only for as long as is necessary for the purpose for which we collected them. Our retention period varies depending on our relationship with you, storage limitation is central to our processing.
